Location & accessibility

“Central” isn’t the same as accessible. Ask about public transport options, rideshare drop-off points, accessible entrances and toilets, and realistic travel time from your workplace or the main guest base.

Parking

Free on-site parking removes a common source of guest frustration, but it isn’t the only good option; a CBD venue near public transport can work just as well, especially with alcohol service in play. Ask what’s actually available and whether it’s guaranteed for your event date.

Space & fit

The room should suit your confirmed attendance without feeling crowded or half-empty. A venue with multiple room configurations is useful, but it’s the fit on the night that matters, not how many spaces the venue has on paper.

Ambience

Ask for current, dated photos of the space styled for an event — not stock shots. Then ask specifically whether that styling is included in your package, an optional upgrade, supplied by an external stylist, or from a different client’s private event.

Catering & drinks

Go beyond “do you cater for dietary needs.” Ask how allergies are handled, whether dietary meals are individually identified for staff, when final dietary numbers are due, whether a tasting is available, and how drinks are charged; packaged, on consumption, or via a bar tab.

Entertainment & AV

Service format affects staffing, equipment and menu composition, but it doesn’t reliably determine which option is cheapest; that depends on the specific menu, beverage inclusions and service duration you choose:

  • Cocktail-style events often have lower costs when service is short, and canapé selections are modest, but premium canapés and extended service can push cocktail pricing above a simpler seated dinner.
  • Buffet dinners vary with menu range, staffing and equipment needs; they aren’t automatically a “middle” option.
